We are handing you control over that fluid environment by launching Policy Move & Replace out of early access for all StrataEMR clinics. Taking center stage in this release, this feature is a massive leap forward in administrative autonomy. It allows you to dynamically shift, swap, or overwrite insurance hierarchies in a single step, while our system automatically manages the background timeline logic and perfectly preserves your billing order.
Alongside this major insurance infrastructure upgrade, we are also rolling out direct admin control over facility assignments and tightening our backend claim validations - ensuring that as your clinic gains more independence, your revenue cycle remains completely protected.

Policy Move & Replace (General Availability)

Our new insurance management tool is officially live for all clinics. When a patient’s insurance situation shifts, you can now move, swap, or replace policies directly from the Policies page without manual workarounds or support intervention.

Assign Clinical Staff to Facility Schedules

Thom built a long-requested feature that puts scheduling and administrative control back into the hands of your clinical leadership. Previously, assigning a clinician to a location or updating an existing facility assignment required a support ticket. Now, admins can manage these assignments directly within the user profile (provided the staff member has an NPI and license number on file). To prevent denials and safeguard your reimbursements, Mako will automatically apply credentialing holds for the appropriate payers if the clinician hasn't been previously assigned to a facility. A new support ticket will be automatically created to confirm the holds that were placed - and responding will send it to our RCM Success Team to help you through the process of lifting them. Until the credentialing holds are lifted, claims will not be sent out for the payers/providers with the holds. If the clinician was already assigned to a facility when you update the facilities selected, Mako will not apply the holds.

Smart Claim Validation - Working from a scenario surfaced by Summer, Paul added a validation layer at the point of claim generation. Previously, if a patient's primary policy was expired but a primary balance remained, the system could occasionally route the claim to the secondary carrier without a warning flag, a quiet detour that could result in coordination-of-benefits (COB) denials downstream. Mako now automatically intercepts these claims at generation, halting any file where a primary balance exists but no active primary policy is found so you can fix it before it leaves the building.
