The front desk got a handful of smaller fixes that remove friction from day-to-day scheduling and check-in, your clinical team got a cleaner task queue and documentation experience, and practice management/billing got the biggest share of attention, with a long list of claims, denials, and authorizations that used to circle the runway now landing exactly where they belong.
Here's a look at what changed this week.
For Your Front Desk Team
- Ben fixed a mismatch where "Authorization Required" showed differently depending on which screen your team checked, so your team sees the exact same authorization status for every patient.
- Ben made authorizations rebuild themselves automatically whenever a related charge is deleted from a chart, so the authorization status your front desk relies on for scheduling never falls out of sync.
- Ben corrected a warning message on unit-based authorizations so your team can trust what's on screen when checking remaining visits.
- Ben fixed a false "Birth Date Mismatch" error that could interrupt eligibility checks, so your front desk gets accurate payer responses instead of a false alarm.
- Thom fixed an issue with the search field on the schedule page that could cause it to not work as expected in some situations.
For Your Clinical Team
- Thom closed a gap where "Missing Document" tasks could stick around on a clinician's list of tasks even after the documentation was complete, building on a first pass that shipped earlier this week to close it for good.
- Thom fixed an scenario where certain text might not carrying over completely when one note is inheriting data from another, so inherited documentation now shows up whole instead of cut short.
- Thom fixed an issue where moving an appointment to "In Progress" might create a duplicate missing-document task for the same visit, so your clinicians see one accurate task per date of service, not two.
For Practice Management and Billing
- Paul added several more insurance denial and remittance codes to the list our platform automatically routes, continuing this week's push to get more denials sorted without a manual look.
- Ben improved the handling of Railroad Medicare claims so that they now go through cleanly without being held up for review.
- Ben improved institutional claims processing so the referring provider is included for all payers except Medicare, resolving a batch of recent related rejections.
- Paul made sure that Missouri Medicaid claims that are secondary to Medicare include the correct claim filing indicator, so those claims stop bouncing back.
- Paul stopped a claim's status from incorrectly reverting in cases where a clearinghouse hit a temporary outage during submission, so a blip on their end doesn't create confusion in your claim queue.
- Paul taught our remittance processing to pull patient and date-of-service details straight from certain claim-level adjustments, speeding up payment posting.
- Elise fixed a mismatch that could apply a patient responsibility report to the wrong account when two cases shared matching information, so responsibility amounts land on the correct case every time.
- Elise fixed an issue with patient statement PDFs where an incorrect balance might be shown when multiple responsibility reports were run back to back, so what your patients see on their statement matches what they actually owe.
StrataLabs
A few things happened this week that you won't notice directly, but that keep the engine running behind your practice's day-to-day work, or that we're laying groundwork on for a future release.
- David fixed an automation that was having trouble behind the scenes, restoring aged AR follow-up automations to their normal cadence.
- Thom built a tool that lets our support team clear stale missing-document tasks in bulk, so task backlogs get tidied up faster when they build up.
- David improved our AI-assisted payer-portal automations and resolved a related slowdown under heavy load.
- David resolved an issue with our Payspan payer-portal automation and added detection for expired passwords and account lockouts, so that automation recognizes those situations instead of escalating for review.
See you on the next update!
