Valentines Day Case Updates & More

This Valentine's Day, we wanted to show you how much we care the best way we know how - by making your workday a little easier. Think of it as our way of saying: we've been paying attention.

We have a LOT to go over in today's update, so let's get into it.

Patient Cases Received a Haircut and Blowout

Beginning on Saturday, February 14th, you'll see a refreshed Case experience in StrataEMR that introduces a new header, sidebar, and more - all designed to keep the information you need right where you need it.

Because you deserve better than a gray box, the new Case Header puts patient context and key actions front and center:

  • Crucial case information, such as the custom Case ID, Case Type, Payer Responsibility, and more are now visible on all pages in a case.
  • When scrolling, the name of the page and the sidebar will stay visible. When editing documentation you'll also see the Document Name and Date of Service pinned to the top of your page.
  • Patient age is now calculated and displayed right in the header. No more mental math.
  • Send Message connects you directly to patient engagement without leaving the case. Reaching your patients just got a little easier.

For our customers participating in Early Access testing of the new Appointment Manager, you'll see a Create Appointment button providing a faster, more direct path to booking the next visit.

The new Case Sidebar gives tasks and notifications their own space, because some things work better when they're not competing for attention.

  • Issues that prevent billing or document completion will show at the top of the page. Opening a case now puts the things that protect your revenue right in front of you.
  • All other notification types on a case will be shown in the sidebar. We made this choice deliberately.
  • Tasks for a case moved to their own tab in the sidebar. Everything works the same way, but the main case view stays focused on what matters most: the patient and the clinical picture.
  • Medicare benefit usage has been moved to the Financial card at the top of the sidebar and is visible everywhere throughout the case.

Case Documentation Organized its Closet

You can now declutter your documentation template list in a snap by choosing the Case Type for any Template in your Template Library. We'll use this setting to determine what documentation to show depending on the Case Type.

Here's what's changed when creating documentation in a Case:

  • If a Case Type is not set for a Case, you'll see all templates by default just like you do today.
  • We'll hide all templates set to a Case Type that don't match the current Case's Type.
  • We'll warn you if you're viewing documentation for a Case Type that doesn't match your Staff Type to prevent documents from being accidentally created in the wrong case.

Mako AI Summarizes Your Practice Analytics Each Month

Mako is now looks back at how your practice did for the previous month and creates a comprehensive Practice Analysis Report. On behalf of your RCM Success Team, Mako will send this as a Message within StrataEMR to Business Owners at the beginning of each month.

In this report you'll find detailed informational breakdowns of top KPIs, billing, collections, claims, denials, reimbursement times, CPT combinations, and accounts receivable in a single, downloadable PDF.

StrataEMR Had its Outfit Cleaned and Pressed

Mako AI Scribe (Early Access)

  • Improved - David cleaned up the way Mako AI Scribe handles audio, making the process more efficient.

Appointment Manager (Early Access)

  • Improved - Thom updated the Appointment Manager to allow clinics to schedule a patient further than 12 weeks out to better serve clinics with wait times.
  • Improved - Thom also improved the Appointment Manager to show the new case header and sidebar when they are enabled for a clinic.

New

  • StrataEMR - When using the updated case sidebar and header, you’ll now see high severity warnings (issues that will block billing or documentation completion) highlighted at the top of the page instead of the sidebar, thanks to Thom.
  • StrataEMR - Using the Case Type Required field that David added last week, templates that don’t match the case type for a specific patient will now be hidden in the dropdown. This means no more selecting a PT note in an OT case or vice versa. Templates with no case type assigned will be visible on all cases.
  • StrataEMR - David also added a warning on the Clinical Documents page that will show if you are viewing a case that does not match your staff type. This will also help ensure that notes are completed on the correct case each time.
  • StrataEMR - Elise added the ability to include an Assisted Living Facility as a place of service option.

Improved

  • StrataEMR - Bobbi caught the need for a new payer rule for Green Mountain Care in Vermont. Elise updated Mako's guidance for this payer so that some general ICD-10 codes (R26.2, M25.569, and M25.579) get the callout to be updated to be more specific, preventing issues down the line.
  • Internal - David improved the system logging process to help track down payment failures more easily.
  • Internal - Addie called out the need for a new option on an internal menu for situations where manual intervention is required by the AR team. Elise made her dropdown dreams come true.

Fixed

  • StrataEMR - David gave the patient search box some much-needed boundaries. It will no longer trigger accidental searches when you hit Enter in other fields or during an autosave. Best of all, it now stays fully functional even while you’re actively documenting on the Clinical Documentation page.
